Register for Staff Presentation to the Board of Supervisors
NEW PROCEDURES EFFECTIVE 2/6/2025 – REMOTE ATTENDANCE FOR CONSENT AGENDA NOW PERMITTIED – PLEASE READ CAREFULLY
This information is intended for County Staff and project consultants who make presentations to the Board of Supervisors, or otherwise need to participate as staff in a Board of Supervisors meeting. Members of the public should be directed to www.ventura.org/boscomment for their participation options.
All staff with items on a Board of Supervisors’ Agenda are expected to attend the Board of Supervisors’ Meeting.
- Departments with items on the consent agenda are able to attend remotely via zoom if desired, or in-person.
- Departments with items on the Regular or Time Certain Agenda are required to attend in person.
Staff responsible for items on a Board of Supervisors’ agenda are required register no later than noon on the day before the meeting, and submit the required information as indicated in the survey.
The information collected will be provided to the Chair of the Board and used during the meeting to identify responsible staff.

FOR PARTICIPATING REMOTELY FOR CONSENT ITEMS:
Remote/Zoom participants will need to complete a second registration form on the public comment registration page.
Option 1:
When completing the staff registration form (above), select Remote Participation on question 7 and follow the additional steps as indicated.
Option 2:
Visit www.ventura.org/boscommentnow and you should be directed to the public comment registration page for the next meeting.
Input your information. When completing the question about item number, indicate your item numbers and (Staff), i.e., “Item 22 and 23 (Staff)”. Doing so will ensure you are not added to the public comment queue and called upon as a public commenter.
Submit, and you will receive an automated E-Mail from Zoom with your participation link.
You will not receive a confirmation E-Mail after registering. If no one registers for an agenda item by noon on the day prior to the Board meeting, the Agency director will receive a reminder E-mail from the Clerk of the Board staff.
Presentation submission procedures must be followed, as outlined in the County Administrative Policy Manual Chapter II-12, “Board Letter Procedures”, starting on page 10. Please present the PPT submitted to the Clerk, since the version submitted is the version used as part of the item’s official record.
Advanced Testing of PPTs and staff presentations may be arranged per the instructions, starting on page 10 of the Manual.
The registration questionnaire will ask you to indicate if you intend to present a PowerPoint presentation.
On the meeting day, running the Board meeting is priority for the meeting operations staff: the Clerk of the Board, CEO-IT and GSA. Any late request submitted will most likely not be seen and are extremely difficult to accommodate due to the many layers of technology required to make a Board meeting run and increased amount of staff working during the meeting. Please do not email clerks or staff directly with late requests.
The Board of Supervisors will not hold regular meetings in the month of November 2024.

The December 2024 Board of Supervisors’ meetings will be held offsite, due to the Board Room Technology Improvement project occurring in November and December.
These Special Meetings will begin at 9:30 a.m., to allow additional travel time necessary for staff.
Due to the special nature of these off-site meetings, County staff responsible for consent agenda items or who are on standby only and are not a presenter for Regular and Time Certain Items may attend Remotely via Zoom. The zoom registration questionnaire will ask you to indicate if you are attending in-person or remotely. Those staff who are eligible to attend remotely and timely register will be sent zoom credentials the day prior to the Board Meeting.
